At TG’s Child Care (“we”, “our”, or “us”), protecting the privacy, dignity, and wellbeing of children and families is fundamental to TG’s Way | Learning for Life Framework.

  • the Australian Privacy Principles (APPs)

  • relevant Early Childhood Education and Care regulations

By enrolling a child, using our services, accessing our digital platforms, or interacting with us, you agree to the practices outlined in this policy.

TG’s Child Care believes that trust is the foundation of strong partnerships with families.


Privacy is not just a legal requirement for us. It is part of how we honour families, protect children, and create safe, respectful learning environments where children can thrive for life.

We collect personal and sensitive information that is reasonably necessary to provide high-quality early learning, care, and education services.

Children’s Information

  • Full name, date of birth, gender

  • Health and medical information (e.g. allergies, medical conditions, immunisation status, medication needs)

  • Developmental information, learning observations, and care requirements

  • Attendance records, incident and injury reports

 

Parent / Guardian Information

  • Names, addresses, phone numbers, and email addresses

  • Relationship to the child

  • Emergency contacts and authorised nominees

  • Court orders or parenting arrangements where relevant

Operational and Administrative Information

  • Enrolment details and service agreements

  • Attendance, session bookings, and billing records

  • Government reporting information

 

Digital Systems and Platforms

We collect information through digital platforms used to support enrolment, communication, learning documentation, attendance, health and safety management, billing, and service operations.
This includes Xplor and any current or future parent portals, communication apps, documentation systems, or health/allergy management tools.

Website and Online Data

  • IP address, browser type, pages visited

  • Cookie and analytics data

Health and medical information is classified as sensitive information and is handled with heightened care and protection.



3. How We Collect Information

We collect information:

  • Directly from parents or guardians during enrolment and ongoing care

  • Through digital service management platforms such as Xplor and similar systems

  • From authorised health professionals or service providers (with consent)

  • Via our website, forms, and online communications

We only collect information that is necessary for our services and legal obligations.

4. How We Use Information

 

We use personal and sensitive information to:

  • Provide safe, inclusive, and high-quality child care and education

  • Support children’s health, wellbeing, learning, and development

  • Communicate with families and authorised contacts

  • Manage enrolments, attendance, and billing

  • Meet regulatory, funding, and reporting requirements

  • Respond to emergencies and support child safety

Information is used only for its intended purpose unless consent is provided or the law permits otherwise.

5. Disclosure of Information

 

We may disclose personal or sensitive information to:

  • Educators and staff directly involved in a child’s care

  • Emergency contacts and authorised nominees

  • Health professionals or allied services (with consent or where required)

  • Government agencies and regulators (e.g. licensing authorities, NQA ITS)

  • Providers of digital platforms, enrolment systems, parent communication tools, learning documentation software, and health/allergy management systems

  • Law enforcement or regulatory bodies where required by law

We do not sell or trade personal information.

6. Digital Platforms, Parent Portals and Future Systems

TG’s Child Care uses digital systems to support modern, responsive, and well-documented early learning services. These systems may change or evolve over time.

We take reasonable steps to ensure that any digital platforms we use, current or future, meet appropriate privacy, security, and confidentiality standards consistent with early childhood education and care best practice.

7. Overseas Disclosure

Some third-party digital platforms or cloud-based systems used by TG’s Child Care may store or process data outside Australia. Where this occurs, we take reasonable steps to ensure information is protected in line with Australian privacy requirements.

8. Security of Information

We protect personal and sensitive information through:

  • Secure electronic systems with controlled access

  • Password protection and role-based permissions

  • Secure storage of physical records

  • Ongoing staff training in confidentiality and privacy

If a data breach is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches (NDB) scheme.

9. Access and Correction

Parents and guardians may request access to, or correction of, personal information relating to themselves or their child.


Requests should be made in writing and may require identity verification to protect confidentiality.

10. Direct Communications and Unsubscribing

We may send communications related to enrolment, learning programs, service updates, and community activities.

You may unsubscribe from non-essential or marketing communications at any time by using the unsubscribe link provided or by contacting us directly.

Essential communications relating to your child’s care, health, safety, or attendance will continue as part of TG’s Way.
